Beadventures Conditions & Responsibilities

Please review the following conditions and responsibilities associated with travel on a Beadventure before registering for a trip with Beadventures.

Trip Cost
The posted trip cost generally includes lodging, workshop tuition, transportation during the trip, guided tours, site fees, and meals as noted. Not included in the posted price is airfare to and from the destination, alcoholic beverages, project supplies, and meals as noted, and travel protection.

Prices quoted are in US dollars or destination country’s denomination and are based on current tariffs, rates and exchange, taxes, levies, and costs. Payment is made in US dollars at the currency exchange rate at the time of invoicing. Should any of the costs substantially change, such as a significant hike in the foreign currency conversion rate, fuel costs, or other matters, there may be an adjustment to the price of the trip. Conversely, if prices are better than expected, Beadventures will cover additional meals or make other accommodations.

Trip Deposit / Final Payment
A $1,000 deposit (unless a different amount is otherwise noted) is required to reserve a space on a trip. Final payment is due 120 days prior to departure. Payments made by credit card are subject to a 4% fee to cover charges and can be made via our secure website.

Travel Protection
In today’s changing travel environment, it’s important to protect your trip investment so you can relax and enjoy your trip. Unforeseen events such as flight delays, baggage loss or even an unexpected sickness or injury could impact your travel plans. Beadventures strongly encourages that you purchase a travel protection plan.

Cancellation/Refunds
The following trip cancellation fees apply to all travelers and all trips:

  • If Beadventures cancels a trip for any reason, a full refund will be made.
  • If you cancel after paying the deposit, 25% of your deposit will be refunded;
  • No refund if you cancel after making final payment.

Medical Insurance Coverage Overseas
You should make certain your personal medical insurance is valid overseas and/or your travel insurance includes this coverage.

COVID Related Travel Requirements
We will watch how the requirements unfold between now and the start of our trip to know what vaccination/testing requirements will be in place. Be assured that Beadventures’ number one priority will be the health and safety of its travelers and we will follow any requirements in place at that time. 

Air Travel
Beadventures does not book airline travel.

Group Size
Beadventure tours usually are small, around 8 to 12, including the tour leader and guest teacher. There may be some exceptions depending on logistics and student interest.

Spouse/Partner Travel
A spouse or partner is welcome for the entire trip, but must be prepared to do something while Beadventures projects are being created during hours of class time (if a workshop is part of the Beadventure). A spouse or partner not participating in class may receive a discount based on the workshop's cost.

Single Supplement
The trip cost for nearly all trips is based on sharing a room. Single rooms may be available at an additional cost and on a first-come, first-reserved basis. Please make it known if you have special requests in this regard.

Itinerary Changes
In developing each trip's itinerary, our tour leaders put a lot of thought into what will make a memorable trip. Before taking a group to a destination, each tour leader "road tests" the itinerary to minimize surprises. If we discover improvements to the initially planned itinerary—or if unforeseen circumstances beyond our control require changes—we reserve the option to make such changes.

Activity Level
Some trips involve a lot of walking, often on uneven surfaces and/or up hills. In selecting a trip, make certain you are comfortable in meeting any noted activity level.

Luggage
You will need to be prepared to handle your own luggage, so consider packing light! Your hotel may not have an elevator or bellman, which means you need to be prepared to carry your luggage up stairs if necessary.

Workshop Project
Many trips feature their own special project. The teacher will send out a supply list and instructions for the project including pre-requisites (if any). You are encouraged to contact the teacher directly with any questions prior to the trip. Some Beadventures are discovery trips and as such, do not involve a project.

Passport
A valid passport is required for all international travel. In most countries it is mandatory to have a passport valid for more than six months after departure for the trip. Be certain to renew your passport if this is your case, in order to not be refused entry. You will be notified if any visas, shots, or special requirements are necessary. The name on the passport must match the name on your airline ticket.

Special Needs
Each traveler is responsible for informing Beadventures of any special needs—mobility issues, dietary needs, etc. and every effort is made to accommodate them. Note that some itineraries require a great deal of walking so a certain level of fitness or mobility is necessary in order to participate.

Assumption of Risk and Responsibility
Your participation in a trip is voluntary and with knowledge that it involves some inherent risks and danger including, but not limited to, forces of nature, terrorism, civil unrest, strikes, wild animals, theft, cancellation or changes in itinerary, negligent action of others or their agencies, or means of conveyance or accommodation which may not be operated nor maintained to standards common in the United States. This includes health-related issues and you are aware that medical services or facilities may not be readily available or accessible during all or part of a trip. This includes emergency medical care, presence of physicians, and adequate medication.

It is the traveler’s responsibility to judge the appropriateness of the travel activities to their own physical capabilities. By forwarding a deposit, you are certifying that you agree with these terms and conditions and that you do not have any mental, physical, or other condition or disability that would create a hazard for you or other passengers. Beadventures and its suppliers take no responsibility for special arrangements or problems incurred by passengers unable to participate in the planned activities. Beadventures reserves the right to decline any person as a member of the trip or to require any participant to withdraw from the tour at any time.
Beadventures has no special knowledge of unsafe conditions, safety problems, health, or weather hazards that may be encountered on our trip.

Beadventures assists in making the necessary arrangements and in no way represent or acts as an agent for transportation carriers, accommodations, and other services connected with the tour. Therefore, Beadventures and its respective employees or representatives accept no responsibility and liability for any injury, loss, damage, delay, accident, or irregularity of any company or person engaged in carrying out services involved.

Therefore, in partial consideration of being allowed to participate in any way with Beadventures and related events and activities, you hereby release, forever discharge, agree to hold harmless, and covenant not to sue Beadventures, its organizers, teachers, volunteers, officers, agents or employees, from all liability claims, demands, and all possible causes of action whatsoever arising out of, or related to, any loss, damage, or injury (including death) that may be sustained from any cause whatsoever.

This waiver extends to any and all of your heirs and should any of them file suit, you will then personally, along with your estate, indemnify the above referenced entities and individuals from any and all claims.
